Signs your QuickBooks books may need professional cleanup
A few uncategorized transactions do not always mean the entire file is unreliable. But certain patterns suggest that the books need a structured review before normal monthly work continues.

Accounts have not been reconciled
If QuickBooks balances do not match bank or credit-card statements, reports may be incomplete or misleading. Long reconciliation gaps can hide missing, duplicated, or incorrectly dated activity.
Balances do not make practical sense
Negative asset balances, old uncleared transactions, unexplained opening-balance entries, or loans that never change can indicate setup or posting problems. These items deserve investigation rather than a quick reclassification.
Personal and business activity is mixed together
Mixed activity can often be organized, but it needs consistent treatment and clear owner input. Cleanup work should separate legitimate business transactions from personal activity without guessing.
Income appears duplicated or missing
Deposits may be recorded once through a sales workflow and again from the bank feed, or payment-processor transfers may be mistaken for revenue. These patterns can distort both income and fees.
The chart of accounts has become difficult to use
Duplicate accounts, overly broad categories, inactive accounts that still receive transactions, or unclear naming can make monthly bookkeeping inconsistent. A cleanup can simplify the structure while preserving necessary historical information.
You do not trust the reports
If you avoid using the profit and loss statement or balance sheet because the numbers feel wrong, that is itself a useful signal. The next step is to identify which balances can be verified and define a realistic correction scope.
Before cleanup begins
A discovery call should establish the affected periods, known concerns, available records, transaction volume, and deadline. Knight Bookkeeping quotes cleanup projects according to the condition and complexity of the books; starting prices begin at $750 per project.
Cleanup bookkeeping organizes and corrects business records within an agreed scope. It is not an audit, tax preparation engagement, or legal opinion.
